Privacy Statement

Introduction

Your privacy is important to CompanyPass. We therefore comply with the privacy legislation, which in our privacy statement we refer to as the GDPR (AVG – General Data Protection Regulation). We advise you to read our privacy statement carefully so that you understand how we use personal data.

Personal data means any data relating to an identifiable person. A person’s name, address, e-mail address, telephone number and IP address are all examples of personal data.

CompanyPass runs a number of programmes for which, at some point, we need and store personal data from you as a consumer. In our privacy statement we explain point by point which data we store, for which purposes we store this data, for how long we store this data and the rights you have as a consumer with regard to your personal data.

Which personal data is processed?

CompanyPass may store and process the following data:

• Your first and last name
• Your address details (street name, house number, postal code, town/city)
• Your telephone number
• Your e-mail address
• Your employee number

Purpose description: why does CompanyPass need your data?

Of course, CompanyPass does not process your personal data without reason, but always for a clear purpose. Your name and address details are used to send you products that you can order through one of our programmes. Via the e-mail address you provide, we can send you purchased e-tickets or digital gift cards, inform you about the progress of your order, or contact you if there is unexpectedly an issue with your order. We also use your e-mail address to send you the newsletter, if you have subscribed to it. We only use your telephone number to contact you if there is an issue with your order. If your employer works with an employee number, we use it as the login name of your login combination to gain access to CompanyPass.

How long does CompanyPass keep your data?

CompanyPass stores your personal data in its secured database. Your data is stored for the duration of the collective subscription that your employer has with CompanyPass. As a standard rule, order data is not kept longer than the applicable statutory warranty period for the products you have ordered. After this period has expired, your personal data is deleted and the relevant order is anonymised.

There are exceptions to the aforementioned retention period. In case no statutory warranty period applies (such as with gift cards and e-tickets), your data is deleted from our database after a maximum of three months.

You can subscribe to our newsletter. Through the digital newsletter you are kept informed of attractive promotions and offers. You can also unsubscribe from it at any time you wish. Every newsletter contains an unsubscribe link. When you subscribe to the newsletter, your e-mail address is automatically added to the list of subscribers. This data is kept until you unsubscribe from the newsletter again.

Sharing your personal data with third parties?

In order to send ordered products, in some cases we have to provide (part of) your personal data to third parties (suppliers and logistics parties). Data processing agreements as referred to in the GDPR (AVG) have been concluded with each of these parties.

CompanyPass therefore only provides your personal data to third parties if this is necessary for the performance of an agreement with you. The only exception to this is when we have to comply with a legal obligation.

Google Analytics

CompanyPass uses Google Analytics. We do this in order to keep track of how users use our websites and how effective our Adwords advertisements are on Google search result pages. The information we obtain in this way, including the IP address of your computer, is transferred to and stored by Google on data servers in the United States of America. Google uses this information to keep track of how our websites are used, to be able to provide reports about the website to CompanyPass and to be able to offer its advertisers information about the effectiveness of their campaigns.

Google may provide this information to third parties if Google is legally obliged to do so, or insofar as these third parties process the information on Google’s behalf. CompanyPass has no influence on this.

Cookie policy

A cookie is a small text file that is stored in the browser of your computer, tablet or smartphone during your first visit to a website. CompanyPass uses various types of cookies. In the first place, functional cookies. These (necessary) cookies ensure that the relevant website works properly. In order to be able to share the content of our websites via your social media, such as Facebook and Instagram, we use social media cookies.

In addition, CompanyPass uses analytical cookies to determine which parts of the website are most interesting to its visitors. Using third-party software, we measure how many visitors come to our website and what is viewed most. For this purpose we use third party cookies.

Statistics are compiled from the information we collect in this way. Among other things, these statistics give us insight into how often our web page is visited and exactly where visitors spend the most time. This enables us to make the structure, navigation and content of the website as user-friendly as possible for you. The statistics and other reports do not contain any personal data and can therefore not be traced back to individuals.

You can always delete or disable cookies yourself via your browser settings.

How can I view, amend or delete my personal data?

You have the right to view, correct or delete your personal data. If you wish to view your personal data, have an amendment made or have it deleted entirely, you can submit a request for this. You can e-mail your request for access, correction or deletion to [email protected].

CompanyPass will respond to your request as quickly as possible, but always within four weeks.

Securing our websites and your personal data

Of course, CompanyPass is very aware of the trust our customers place in us when it comes to privacy. We consider it our responsibility to handle your personal data correctly and securely and to protect the privacy of our customers and all users of our systems. We take appropriate measures to prevent misuse, loss, unauthorised access, unwanted disclosure and unauthorised modification. The CompanyPass websites use reliable SSL Certificates to ensure that your personal data does not fall into the wrong hands.

Changes to our privacy statement

When there are changes to our programmes, to laws and regulations or to our privacy policy, we will amend our privacy statement. Therefore, always pay attention to the date at the top of the privacy statement and regularly check whether there are new versions.
